How Do I Set-up Parent & Carer Access?

STARS allows you to share pupil results and other information with parents & carers. This allows you to keep parents informed of pupil achievements, groups and personal information held. STARS allows you to configure parent and carer access to determine the amount of information you wish to share.
Parents and carers can only view information, they cannot change anything stored on STARS. They do not access your system but another separate system that presents information to them on a single page. For each pupil on your system a username and password is automatically generated. Parents and carers use this to login via an encrypted Internet address to view the information made available for the pupil.
NOTE: This option is only available for online systems; standalone servers do not support information sharing.
Once you have logged into STARS and are at the Home page, follow these steps to set-up parent and carer access:
First you must switch on sharing and configure the items you wish to make available to the parents and carers. Sharing is disabled by default, nothing will be available until you turn it on.
- From the menu bar, click 'Maintenance→System Utils→System Config'.
- A list of configuration options will be displayed, click on the 'Parents' button.
- Read the information at the top of the page that explains about information sharing.
- Click the 'On' radio button to turn sharing on. Similarly, if you wish to turn it off later then just click the 'Off' button to disable sharing for your STARS system.
- Information to be share is turned on or off via the checkboxes listed below the main access buttons. A tick means that this information will be shared. Remove the tick to turn off access.
- Be sure to read each category and the associated help messages (click on the yellow '?' icon).
- You can review the packages shared with parents and carers by clicking the 'On' radio button for the 'Review' option at the end of the page. This will show you which packages are selected for parents and carers. When you first switch on sharing, there will not be any packages in this list as they are all disabled by default.
- Once you have configured the level of sharing click the 'Accept' button to save the changes.
Each package of results that you wish to share must be switched on individually. Once switched on, the results in the package will be available to parents and carers if you have enabled the relevant option as described above. To turn on a package, follow the steps below:
- From the menu bar, click 'Maintenance→Achievement Package→Change' (or 'Add New' when setting up a new package and sharing it at the same time).
- From the package selection screen, choose the package you wish to share.
- From the package selection screen, choose the package you wish to share and click 'Accept' to continue.
- At the top of the package screen you will see 'Share These Results With Parents & Carers?', simply place a tick in the checkbox to enable sharing of this package. Later on, should you wish to remove sharing of a package, simply remove the tick from the checkbox.
- Click 'Save' to save the changes made.
Parents and carers need to be advised of the username, password and Internet address to access the information for a pupil. Follow the steps below to view and print this information:
- From the menu bar, click 'Pupil→Show'.

- Select the class or group from the drop-down list then click 'Class View'.
- The class or group will now be displayed. Click on the 'Print Class/Group Parental Login Details' link shown under the class or group name near the top of the page.
- The login information for each pupil in the class or group will now be displayed. Click the 'Print' option to send this report to your printer.
- Two slips will be printer on an A4 piece of paper. You can use your browser's 'Print Preview (normally on the 'File' option of your browser) to view how the output will be displayed.
- Click 'Back' to return to the class/group view page or 'Cancel' to return to the home page.
- To view and print parent and carer access information for a single pupil, follow the steps below:
- Select a class or group from the drop-down list then click 'Accept'.
- Now select the individual pupil from the drop-down and click 'Accept'.
- The pupil details will now be displayed. Near the bottom of this screen you will see the username, password and an 'Active' or 'Expired' indicator. Parent and carer access is only available for pupils who are still at school. Usernames are disabled as soon as the pupil is moved into an archive class.
- Click on the 'Print Login Details' link next to the username field.
- The login information for the pupil will now be displayed. Click the 'Print' option to send this report to your printer.
- You can use your browser's 'Print Preview (normally on the 'File' option of your browser) to view how the output will be displayed.
- If needed, a new password for the pupil can be generated from 'Pupil→Show' screen by clicking on the 'Generate New Password' link next to the password. You will be asked to confirm you wish to proceed then a new password will be generated and displayed.
- Click 'Continue' to return to the class/group selection or 'Cancel' to return to the home page.
NOTE: Each pupil will be assigned a username and password for their parents or carers. If siblings are at the school then each will have a different username and password. Only the details associated with an individual username and password can be viewed when a parent or carer is logged in.
NOTE: For security, usernames and passwords are automatically generated and are unique. They cannot be modified or updated (apart from generating a new password) by staff, parents or carers.
